At present, contact with our customers is poor. According to the survey, the amount of complaints from customers has risen and the most-mentioned complaints were slow response times to emails and difficulty in getting clear answers to their questions from our staff members.
The purpose of this report is to spotlight problems within our company and to provide suggestions on procedures to improve performance and to illustrate the benefits for the organization. These suggestions are based on the findings from a staff survey, conducted last month.
These three problems must be dealt with urgently. Although solving them will entail increased costs, in the long term overall organizational efficiency and effectiveness should result.
Recently, our company’s performance has not been where it needs to be. Key areas which seem to be contributing to this problem are the poor state of our computer equipment which needs an immediate upgrade; poor customer contact which could be improved by organizing a networking event; and the overall lack of employee motivation which could be corrected by introducing a staff outing.
The following areas of improvement have been identified:
To encourage better communication with customers, I propose arranging a “brunch” on a monthly basis. This would provide us with an ideal opportunity to find out more about our clients’ requirements and to get to know them better.
To acknowledge our hardworking staff, I would advise instituting a staff trip, e.g. a rafting weekend in the Tyrolean Alps. This would be a creative and different way to show appreciation to our employees for their efforts during the year as well as an excellent team-building opportunity.
To enable our employees to work more effectively, I suggest providing the staff with new laptops so that they can work from home, if they choose, and thereby have access to all the programs they require.
Our computer system is outdated. According to the IT-Manager, not only do the drivers run very slowly, but our software is also not compatible with many new applications.
